Logistics

Dr. Wolfram's presentation involves some specialized equipment and operations. We will need to discuss the following details with your staff. We appreciate your help in ensuring that the event will go smoothly.


Set-up
In most cases, we will be flying in with our equipment and will be needing to transport the equipment by van to your auditorium.

If you are able to provide a van to meet us, we will need to know who will be driving and the person's contact information so we can coordinate timing.

If we need to rent a van, we will need to discuss details such as the following:
  • Location of the unloading point
  • Availablity of carts or other aids in transporting the equipment into the auditorium
  • Parking location and permits for van and other vehicles
  • Time when the facility will be available for our entry


Auditorium/AV Equipment
Dr. Wolfram's presentation includes a lecture illustrated by computer images followed by an extensive question and answer period.

He will have notes on a laptop computer at a lectern (which we will be bringing ourselves). Dr. Wolfram prefers using a lavelier microphone, and we will be providing this as well.

While he is presenting, various computer images from a second laptop will be shown on screen. After the main presentation, we will want to switch the projection system from the second laptop to the one at the lectern so that Dr. Wolfram can illustrate answers to the audience questions.

To optimize the presentation, we would prefer that the stage be cleared and with a dark backdrop. It would be very useful to have a diagram or blueprint of the auditorium so we can get a feel for the phyiscal layout of the stage, where the speaker enters, etc.

In order for the equipment set-up to go as quickly as possible, it will be helpful to discuss many details in advance, such as:
  • Location of power outlets near stage
  • Availabillity of CAT 5 cable
  • Type of connector needed to plug in our wireless microphone to the audio system
  • Audio recording capabilities
  • Ability of the PA system to handle computer sound
  • Native resolution of projector
  • Make and model of projector
  • Location and length of VGA cables
  • Location of projection booth and need for boosters/cables to connect to stage
  • Availabilty and details of internet access
  • Lighting capabilities
  • Provision for audience microphones
